Project Administrator

  • Provide dedicated, administrative and project support to the PMO office
  • Organise the necessary team members
    Facilitate, report and analyse projects under the supervision of a Project Manager
  • Setup new project templates, project codes and information, including ensuring that contracts are signed and filed
  • Relevant project cost trackers to be maintained with timesheet information and invoice details to track performance for each project
  • Assistance with the compilation of client invoices, including tracking of all disbursements for the relevant projects, ensuring monthly submission of invoices from all contractors
  • Follow up on outstanding invoices with Finance and report back to Project Managers
  • Assist Project Managers with the preparation of presentations and any research of relevant documentation
  • Take minutes of project meetings as required
  • Ensure that all project administration support is provided
  • Coordinate processes associated with preparations and organising of workshops (invitations, venues and other related logistics)
  • Organise travel arrangements and related accommodation for management and project staff and any other project related arrangements that are required
  • Ensuring that projects are run in compliance with the requirements
  • Providing guidance to project teams
  • Establishing and maintaining the project documentation library

Key Results Area

  • Effective management of support functions covering planning, tracking, reporting, quality
    management and internal and external communication.
  • Produced consolidated reports for the Project Board, including milestone summary,
    key issues, risks, benefits, summary of costs incurred.
  • Established standards, tools and procedures for use on the project, including Issue,
  • Risk, Change and Information Management

Education

  • Relevant Diploma/Degree
  • Relevant Project Administration qualification / certification
    Experience & Skills
  • High level knowledge of Project Management methodologies and standards
  • Demonstrable experience of working in a similar role at a comparable level in a company for at least 4 years
  • An understanding of the requirements and implications of projects
  • A good understanding of basic accounting practices
  • Effective diary management and travel planning, including international travel
  • Working Knowledge of the Aviation / Transport and/or Airports industries as well as Technology
  • Trends and an appreciation of the dynamics of the public sector
