Receptionist /Secretary

We are on the lookout for a Receptionist /Secretary

Key activities include, but are not limited to:

Looking after visitors by greeting, welcoming, directing and announcing them appropriately
Answering, screening and forwarding phone calls whilst providing basic information or taking appropriate messages in a timely and polite manner
Maintaining a professional reception area
Ensure that visitors have the appropriate entry badges
Diary management
Maintaining and monitoring a booking system for boardrooms
Preparing and collating presentations and documentation for meetings
Supporting the process for all paperwork
Receiving and sorting daily mail/deliveries /couriers and prepare outgoing mail for pick up
Monitoring and placing requests for office stationery and ensuring appropriate stock levels
Coordinating meetings and arranging catering where required
Managing the general mailbox ensuring correspondence is dealt with in a timely manner
Performing any other administrative tasks as deemed appropriate
We are looking for a candidate with;
Senior Certificate

Excellent, accurate and grammatically correct typing and keyboard skills
Three to six plus years experience in a professional office environment
Good knowledge and experience of Microsoft Office Suite
Well spoken with the ability to create a professional and welcoming first impression
Professional personal presentation
Ability to deliver excellent customer service
Capable of being proactive and decisive
Reliable and punctual
Good attention to detail
High level of organisational skills
Excellent communication and interpersonal skills
