Senior Secretary

A vacancy has arisen.for a Senior Secretary
Email management
Screen and respond to all incoming telephone calls and take action as appropriate
Assist with the management of company stationery and grocery requirements
Procurement of ad hoc items required
Provide full senior level secretarial and administrative support service to the Managing Director
Draft routine correspondence for approval and signature
Ensure all required approvals are processed and returned to relevant stakeholders
Receive visitors to the office
Handling communications on behalf of the Director including daily maintenance of digital diary, arranging/accepting meetings and telephone calls
Type meeting minutes as required
Transcribe dictation
Manage aspects of team meetings including venue set up, diary notices, documentation and materials
Manage the office filing system and all personnel records
Maintain and update employee leave roster
Travel arrangements
Attend to any catering/beverage requirements for meetings and functions
Event coordination
Arrange meetings
Undertake projects and research
Ensure that all tasks are captured and updated regularly
Act as the communication medium in the office to relevant internal and external stakeholders
Assist in managing all legal requirements, including documentation and relevant correspondence
Compile Directors' meeting reports
Minimum of 5 years experiences in Senior Secretary role.

Experience with diary and travel management
Experience with conference calling facilities internal telephone transfers
Effective communication skills, including the ability to effectively communicate requests and instructions to individuals and groups

MS: Office -advanced experience (Excel, Word, PowerPoint, Outlook)

A skilled communicator and proofreader, with good numeric skills.
Possess advanced communication platform and presentation skills

Adapt easily to changing needs and are equally comfortable with errands as with intricate projects.
