Personal Assistant to provide an efficient and responsive administrative and organisational service to the MD and Group Communications Manager

Qualification

  • Matric
  • Secretarial Diploma / Degree will be advantagous

Requirements

  • Minimum 3 to 5 years’ working experience as a Personal Assistant
  • Excellent command of English, both written and verbal
  • MS Office Competence

Duties

  • Welcoming guests
  • Accepting of parcels
  • Arranging of courier
  • Planning, communicating and synchronising two diaries to ensure optimum operational efficiency
  • Arranging all travel, visas and insurance for Managing Director, Group Communications
  • Manager, including all travel for head office as well as all Management Committee travel
  • Arrange travel for divisional employees if specified branch travel arranger is not available
  • Planning and coordinating a number of events throughout the year which include customer innovation
  • workshops, sales conferences, leadership conferences, customer year end functions, management
  • committee year end functions and customer year end functions
  • Sourcing venues, entertainment, catering and gifts for functions
  • Arranging travel, accommodation and training facilities for all training taking place in the division
  • Raising and processing invoices and purchase orders
  • Submit monthly expenses and reconciliation for managers
  • Managing, coordinating and distribution of annual diaries and calendars for the group
  • Managing Telkom directory placements for the group on annual basis
  • Compiling reports and presentations for internal and external meetings
  • Compiling management reports on a monthly and quarterly basis
  • Screening mails and telephone calls in a professional and efficient manner
  • Maintaining diverse personal professional relationship with Managing Director and Group
  • Communications Manager in a proactive and client-driven manner
  • Support role to Personal Assistants supporting Executives
  • Managing Intranet content, correct use of brand and updates as required
  • Compiling and editing quarterly company newsletter, soft and hard copy distribution to all sites
  • Uploading vacancies on portal and external website
  • Processing requisitions for all retainers and communication based payments; and
  • Ordering corporate branding and handouts as required.
