National Administration & Supply Chain

AWESOME CAREER OPPORTUNITY.  OUR CLIENT, A MULTI SENSORY SPECIALIST, LOCATED IN DURBAN SEEKS TO APPOINT A NATIONAL ADMINISTRATION AND SUPPLY CHAIN.  

Responsibilities:

REGIONAL ADMINISTRATION

  • Overseeing 3 Regional Administrators and a Stockroom Controller
  • Implementation and training of administration policies and procedures
  • Vetting of office consumable orders – groceries and stationery
  • Vetting of courier quotations
  • Regional petty cash recon and sign off
  • HR assistance – approval of leave schedules and HR support
  • Ordering of staff uniforms
  • Monitor company profiles and product sheets per region
  • Assistance with CRM processes
  • Monthly reports and monitoring of Regional Dashboards

MANAGEMENT ADMINISTRATION

  • Administration support
  • Travel, car and accommodation bookings – local and international
  • Monthly Reports
  • Cellphone upgrades
  • Management meetings – taking notes and reporting on department function and progress
  • Distribution of account and sales related emails

SUPPLY CHAIN ADMINISTRATION

  • Liaising with suppliers – local and international
  • Prepping of monthly stock forecasts per region
  • Placing monthly stock orders with various suppliers – requesting quotations and raising PO’s
  • Receiving pro forma invoices and submitting to accounts for payment and purchasing stock with company credit card
  • Completing vendor applications
  • Liaising with shipping agents and couriers for delivery of orders -local and international

STOCK ADMINISTRATION

  • Implementation and training on stockroom policies and procedures
  • Overseeing 4 regional stockrooms ensuring stock holdings are correct
  • Receiving and dispatching of stock
  • Testing, branding and weighing of stock
  • Monthly stock take reporting
  • Faulty unit monitoring – warranty units return policy, repairing of faulty units, ordering spares
  • Scanman stock movements software – monitoring, training and support to Regional Administrators

SCENTING ADMINISTRATION

  • Preparing and upkeep of scenting catalogue
  • Upkeep and monitoring of scenting library
  • Sample matches
  • Preparing and manufacturing of small roomspray orders
  • Assisting with costing for fragrance or roomspray orders

UK OFFICE ADMINISTRATION

  • Monthly stock forecasting
  • Liaising with suppliers for stock orders
  • Preparing monthly refill schedule
  • Fragrance Management System database entries and refill monitoring
  • Dispatching of postal orders – liaising with couriers
  • Liaising with once off clients for orders – preparing relevant documentation, assisting with artwork design

Requirements:

  • 3+ years’ experience in similar role
  • Grade 12 / Std. 10
