Warehouse Supervisor

A key role for a Warehouse Supervisor exists with one of our clients based in the Pinetown area, someone who has a good understanding of inventory concepts, material handling and warehouse layouts. 

The successful incumbent will be responsible for the day-to-day activities stock management and logistics of warehouse operations.

To achieve this, they will manage people, processes and systems, ensure productivity targets are met and maintain computerized administration and automated storage and retrieval systems.

This position will ensure workplace health and safety requirements are met and take responsibility for the security of the building and stock in the warehouse.

Receipting and Dispatch

> Receiving and dispatching of goods according to company policy and agreed standards;

> Ensure the correctness of incoming and outgoing good with regards to: Quality, Quantity, Packaging, Product and Price; and

> Ensures that the incoming goods are correctly placed in allocated/designated areas.

Stock Management

> To optimize work flow plan activities of the warehouse and ensure that it is up to the standard;

> Conduct daily, weekly and monthly stock counts, ensuring that the counts are done accurately and sent by the relevant date;

> Communicate with transporters and local suppliers to obtain the best service, at the best price;

> Manage the process of imports by communicating with clearing agents, procurement, transporters, warehouse staff and receiving depo and ensure that stocks received are properly checked and loaded timeously;

> Manage the process of exports by communicating with clearing agents, procurement, transporters, warehouse staff and factory and ensure that stocks received are properly labelled and photos taken at the time of loading into containers;

> Ensure that works orders are generated, and assemblies made for all fast-moving stock;

> Ensure correct issuing and receipting of stock;

> Place grit works orders with Rustenburg Plant for the warehouse and always ensuring that there is always sufficient stock available;

> Confirm by using the ERP program (Sage), that products were dispatched against the respective sales orders;

> Manage the loading and unloading utilizing crane and/or forklift, ensuring that care is taken and that bags are not broken in the process;

> Monitor and set aside storage space for stock;

> Obtain quotes for all required stock and facility items;

> Place orders on Sage and communicating them to the relevant suppliers;


> Follow-up and report late deliveries for both customers and suppliers related to the warehouse;

> Monitor and report on stock levels and stock movement;

> Monitor, investigate and report on stock discrepancies;

> Compile and distribute daily, weekly and monthly reports pertaining to the warehouse;

> Minimize stock losses through increased security measures and constant monitoring;

> Investigate any stock which was damaged upon receipt and resolve, and inform procurement if imported stock is damaged;

> Implement a procedure to monitor and resolve variances resulting from these stock counts;

> Place damaged stock in the quarantine area until resolved;

> Follow up with the sales department regarding credits for stock which were turned;

> Follow up on back orders on a daily basis and provide feedback to the sales department regarding the status of the orders; and

> Storage of stock must promote efficient accessibility in a clean environment, taking into account the FIFO principal of moving stock.

Safety

> Coordinate SHE committee meetings, and ensure that the attendance registers are signed, and records kept;

> Conduct safety talks and toolbox talks with employees, highlighting matters of concern where necessary;

> Ensure that there is continuous communication of safety issues;

> Collate the SHE statistics for your branch;

> Conduct SHEQ inspections, audits for your branch;

> Facilitate incident/accident investigations;

> Do Hazard identification, risk assessments, hazard analysis as well as environmental aspects and impact assessments;

> Ensure that housekeeping requirements are met;

> Ensure all employees comply with the necessary PPE requirements;

> Ensure compliance with relevant legislation;

> Ensure that all incidents are reported internally and externally in accordance with policies and procedures;

> Ensure appropriate signage is displayed;

> Ensure the site has suitable qualified first aiders and fire marshals and that regular checks are undertaken;

> Ensure continuous improvement based on OSHAS 18001 & IS014001;

> Ensure dangerous materials are stored and handled appropriately;

> Ensure regular risk assessments are undertaken, gaps identified, and relevant actions implemented;

> Commit to compliance with all required Health and Safety regulations to ensure a safe working environment and zero tolerance for workplace injuries; and

> Ensure that all SHEQ requirements are adhered to and regularly updated on the system.

Additional responsibilities

> Issue technician with job cards;

> Monitor all company and contractor vehicles with respect to roadworthiness, safety and overall image, this includes: Licensing requirements, servicing, tyres, customer required and legislated safety equipment and cleanliness;

> Draw up clear maintenance schedules for all equipment and vehicles utilized in the warehouse and ensure that these are adhered to;

> Ensure that forklift operating licenses are always valid and arrange for training before they expire;

> Fill in for both the dispatch and warehouse controller on an ad-hoc basis;

> Implement continuous improvement plans;

> Planning future capacity requirements as and when required;

> Compile data and required information for the monthly KPI presentations;

> Ensure accurate filing of warehouse related documents in a manner in which it is easily accessible;

> Arrange transport for goods to that was delivered at other warehouses;

> Create a visual workplace in which areas are easily identified through signage and ensure cleanliness of the site and its vehicles to promote neatness and minimize damage;

> Plan and implement the production schedule for the workshop and amend where needed to meet delivery/shipping schedules;

> Determine the human and material resources required to maintain the set sales schedule; and

Ordering, purchasing & control of groceries, cleaning products and stationery, ensuring that value added suppliers are used and that the use of consumables are monitored.

Human Resources

> Supervise and keep accurate record of the day-to-day activities of all warehouse staff;

> Identify areas of current and future personal development to ensure leadership excellence and continuous management development;

> Manage the warehouse staff through creating a culture of performance excellence;

> Ensure that accurate job descriptions are communicated, detailing your expectations of the staff;

> Select, train, motivate and evaluate technical staff and provide or co-ordinate staff training in conjunction with the Human Resources department;

> Address poor performance constructively and timeously.

> Address misconduct and deviation from the company’s values and code of conduct consistently through advice from HR;

> Develop a team spirit and recruit in line with team needs;

> Book approved external training with the relevant service provider upon approval from Human Resources;

> Conduct on-the-job training with warehouse staff and prepare personal development plans for each staff member; and

> Monitor and review the performance of workshop staff and implement necessary interventions for improvement.

  • Grade 12 certificate;
  • Ability to communicate in English and Afrikaans;
  • Experience in a similar production environment;
  • Working knowledge of MS Excel and Word;
  • Fluency in English and Afrikaans; and
  • Literacy and numerical ability.
