Min Required Qualification.

  • Matric with Mathematics
  • Five years’ experience in Customer Service, Administration and Logistics
  • In-depth knowledge of SAP as it relates to Customer service, Sales and Logistics processes (OTC)
  • In-depth and up to date knowledge of local import and export legislation, requirements and procedures (advantageous, but not essential)
  • Knowledge of IATA regulations and Hazardous goods shipping protocols (advantageous, but not essential)
  • Knowledge of international trade agreements (advantageous, but not essential)
  • Fully proficient in use of MS Office, particularly Word, Excel and PowerPoint
  • Experience with CRM system(s) advantageous
  • Excellent communication skills
  • Proven problem solving ability
  • Able to work under pressure in demanding environment
  • Self-motivated, goal oriented and assertive
  • Strong prioritization & time management; organisational skills
  • Good relationship management skills
  • Good understanding of sales and business processes as well as the ability to take up and structure new topics
  • Able to work as member of a team and lead, when required

 

Major Responsibilities & Accountabilities

  • Support the introduction and go-live of Magellan SAP at HZA, as well as the ongoing use thereof by the Sales and Customer services team for operations at the Boksburg site
  • Customer-oriented alignment and optimization of internal processes in Customer Service
  • Oversee and manage customer order deliveries, including alignment of internal processes among Sales, PM Control and Packaging
  • Oversee and manage logistics procedures, including coordination with various suppliers and service providers, for export, import and local shipments as related to operations at the site
  • Implementation and execution of Sales, Customer services and logistics procedures in SAP by Sales and Customer Service departments at company facility
  • Work together with Sales and other departments to ensure that the needs of customers are met as it relates to orders, complaints, quotations and/or any other relevant topics
  • Maintain up to date knowledge of legislation related to import and export control in South Africa, free trade agreements relevant to HZA’s business, IATA regulations and protocols, as well as any other factors related to the logistics of HZA’s business
  • Ensure that all processes followed by- and all documentation used/issued by HZA in the execution of order deliveries are in line with local and international import/export legislation
  • Manage relationships between HZA and various logistics service providers and advise management of problems, improvement opportunities and possible synergies
  • Check and sign off invoices received from logistics services providers and communicate these for payment to Finance department
  • Check and authorize E-synergy requests and SOs, POs and Invoices in SAP / EXACT
  • Ensure high levels of Customer satisfaction
  • Ensure customer pool accounts are kept up to date
  • Manage and control filing and administration related to Sales and Customer service and Logistics to ensure filing is kept complete, up to date and in order with the goal to minimize paper filing and optimize electronic filing
  • Continuously pursue cost saving and improvement opportunities within the scope of daily function and relevant field of expertise
