Office Manager

The Office Manager will also provide administration support to the PA to Managing Director & HR Manager and Managing Director in the PA’s absence. Roles and Responsibilities involve: Ensure all incoming mail is distributed appropriately and that outgoing mail is prepared for collection at the end of each day. Arrange the repair maintenance of the infrastructure of the building. Arrange the repair and maintenance of office equipment and furniture, and replacement where appropriate. Ensure all stationery and kitchen supplies are maintained and stocks ordered on a weekly basis. Ensure the office is kept presentable, liaising with heads of departments where necessary. Manage the car park when necessary. Manage the use of the company pool cars. Manage the use of the boardroom and arrange refreshments and lunches for meetings. Act as the main point of contact to the Company’s external IT provider. Ensure all new employees have an appropriate workspace arranged, IT hardware and are set up with user ID’s and email addresses. Manage the company car fleet. Maintain and review as appropriate the suppliers for the Company’s insurances, IT, landlines, mobile phones, security system, stationery, photocopiers and utilities. Dealing with the renewals of various licences, e.g. Music licence. Responsible for office security. Maintaining and renewing contracts with various suppliers. Arrange and book training courses.
