Executive PA

Duties & Responsibilities Qualification in Office Management or relevant qualification. 3 to 5 years experience as a PA. Desired Experience & Qualification. Operate duties at the level of an Executive PA Provide full support and manage the portfolios (primarily of the CEO) of the EXCO. Secretarial duties and overall office management Set up and maintain a filing system Prepare packs for meetings including Board meetings. Prepare relevant reports and coordinate the compilation of those from different Departments Represent the CEO in nominated engagements with clients and suppliers. Manage office equipment and stationery Ensure that there is appropriate refreshments for meetings. Reconciliation of credit card statements for the CEO and submitting these on a timely basis to the Finance Department Coordinating of meetings, i.e. book venues, arrange refreshments and audio visual equipment with IT Dealing with all confidential secretarial and administrative matters in connection with meetings including Board meetings. Coordinate the flow of information internally and externally. Perform general administrative tasks Email & Diary Management Maintain schedules and calendars, arrange and confirm appointments. Professionally screen incoming calls received and accurately communicate messages Provide administrative support to the CEO including travel arrangements, accommodation, car hire etc.
